Long induction queues and an inefficient manual process lead SEUK to review how inductions were being delivered across their operations

SEUK is a leading provider of sustainable solutions supporting the UK’s transition to Net Zero. SEUK’s has numerous sites located across the UK which welcome thousands of visitors and contractors each year. Inducting personnel to ensure their safety whilst on site is a key operational safety requirement.

Like many company’s, SEUK operated a manual induction process. Under the manual process, inductions were scheduled and delivered by SEUKs team of trained inductors. This was both time and labour intensive and took the inductors, who were SEUKs HSSE Advisors, away from frontline support activities.

To add an extra layer of complexity, inductions needed to be tailored to the different classes of entrant which gained access to their sites. Due to this, SEUK needed a solution which both streamlined and made the induction experience more impactful.

Solution

A tailored visitor experience

Intasite worked with SEUK’s HSSEQ Team to develop this solution; a digitised induction programme for SEUK site visitors, contractors and even employees.

As part of the brief, Intasite produced new induction videos for all different visitor types, ensuring each user gets the appropriate health and safety information required to be safe on site. Today, we have automated much of the induction process, significantly reducing time for safety managers and helping towards sustainability targets.

How it works

Once a visitor or contractor is invited to sit their induction, they are able to do so in the location of their choice. They can do this using the registration link from their invitation email, which provides a user-friendly and seamless experience on any device.

Multi-choice assessment questions are asked throughout the induction and an email notification is sent to the visitor with a completed induction pass and QR code for verification on arrival.

All records are tracked and updated in real-time and are easily accessible for the security and gatehouse personnel.

This ensures a simple, seamless, and convenient induction process, as well as a high standard of security.

A smarter solution during a global pandemic

The COVID-19 pandemic meant the traditional method of classroom based training would no longer be possible and the Visitor Induction Centre needed a smart solution which would alleviate the heavy burden of queues and congestion at busy periods. The new process now strikes the perfect balance between providing a smoother journey for visitors and enhancing security at the site.
